Accounting & Payroll Coordinator.

Community Kitchen Program of Calgary is Calgary’s second largest food bank. We work to provide immediate resources to those struggling with food insecurity, but we also offer an educational component in all our programs, in the hopes of having a positive impact on their futures.

As the Accounting & Payroll Coordinator for Community Kitchen Program of Calgary, your responsibilities would include managing the day-to-day bookkeeping and payroll functions, ensuring the accurate collection, disbursement, and safeguarding of financial resources. This role supports the CEO in maintaining financial integrity and contributing to effective financial management practices within a nonprofit setting.

Key responsibilities of the role would include the following:

  • Process semi-monthly payroll, ensuring accuracy and compliance with Canadian payroll legislation.

  • Generate and track invoices for various revenue streams, including:

    Program fees

    Payments received for products/services

  • Receive and apply payments to corresponding invoices, ensuring accurate tracking and reconciliation.

  • Ensure compliance with accounting principles and company policies.

  • Ensure compliance with non-profit accounting standards and reporting requirements.

  • Perform related clerical duties, such as word processing, maintaining filing and record systems, faxing and photocopying.

  • Identify opportunities for streamlining accounting and payroll processes to enhance efficiency and accuracy.

  • Collaborate with other departments to gather and analyze financial data.

  • Support financial planning and forecasting, ensuring the organization remains on track to meet its goals.

  • Provide financial reporting for program audits and liaise with program leads to gather funder reporting data.

  • Support grant applications and reporting requirements.

  • Track fund allocations and ensure compliance with donor restrictions.

  • Track and monitor grant expenditures for compliance with agreements.

  • Track deferred revenue and ensure recognition in accordance with accounting standards.

  • Reconcile company credit card transactions monthly.

  • Perform monthly accounts reconciliation, ensuring all balances are accurate and discrepancies are resolved promptly.

  • Maintain accurate financial documentation and assist in annual audit preparation.

  • Provide support for tax preparation and filing.

  • Ensure T4s are pulled and processed on an annual basis, meeting all regulatory requirements and deadlines.

  • Prepare and issue Records of Employment (ROE) as required.

Ideal Candidate:

  • Recently designated CPA or undesignated with 5+ years of full-cycle experience.

  • Minimum of 3 years of accounting experience; experience in a non-profit or education environment is an asset.

  • Proficiency in QuickBooks is highly desirable.

  • Strong understanding of non-profit accounting principles and reporting standards.

  • Experience preparing financial statements, reconciliations and working with external auditors.

  • Strong analytical and problem-solving skills with keen attention to detail.

  • Ability to work independently, manage multiple priorities, and meet deadlines.

  • Excellent verbal and written communication skills, with the ability to convey financial information to non-financial stakeholders.

  • Ability to handle confidential information professionally.

  • A proactive, adaptable, and team-oriented mindset.

Pay: $60,000 to $70,000 depending on skill set and experience
